Creating Templates
Performance reviews in MyPeople are built from two components:
- A Performance Review Template – which defines the structure, content and scoring of the review.
- A Target Group – the employees who will complete or be assessed in the review.
This guide explains how to create a Performance Review Template, which must be set up before any review can be launched.
Creating a Performance Review Template:
1. Start a New Template
Navigate to Performance → Templates → Create Template.
You will be asked to complete the initial template details:
Name your template clearly (e.g., Annual Review 2025, Sales Mid-Year Review).
Add a Description to explain the purpose or context of the template.
Select Languages
Templates can be configured in multiple languages, including:
English
EU Spanish
EU French
EU Portuguese
German
Italian
Dutch
All languages selected will need translated versions of section and question text.
2. Choose the Review Type
Select the type of performance review the template will support:
Employee & Supervisor Review
Two-stage review: employee completes self-assessment → supervisor provides final assessment.
Supervisor-Only Review
Single-stage review completed only by the manager.
Self-Assessment Review
Employee completes the review without manager scoring.
Peer Review
Multiple respondents (peers, direct reports, supervisors) contribute scores. Weightings can be configured when setting up the review itself.
This selection determines how the review behaves once launched.
3. Add the Introductory (Welcome) Message
You can add an optional Welcome Message that appears at the start of the review.
This can be used to:
Provide context or purpose
Explain expectations
Clarify deadlines
Set tone or reinforce values
The welcome message can be customised per language.
4. Build the Review Sections
Performance reviews consist of one or more Sections. Each section groups questions together and generates its own score.
You can include:
- Goals Section (Optional)
- If added, the review automatically pulls in individual goalsfrom each employee’s profile.
- Each employee sees their own goals.
- Goals are scored within the review.
- Goal scores contribute to the section score based on weighting.
- If added, the review automatically pulls in individual goalsfrom each employee’s profile.
- Custom Sections
- You can add as many custom sections as required.
- For each section:
Name the Section
(e.g., Role-Based Competencies, Continuous Development, Leadership Behaviours).
Add an Introductory Message (optional)
Appears at the top of the section.
Add Questions
For each question you can configure:
Question text
Supporting description (optional)
Response type, such as:
1–5 scale
1–10 scale
Free text
Yes/No
Question Weighting (optional)
Determines how much this question influences the section score.
Repeat for all required questions.
5. Configure Section Weighting
Once all sections are created, you can set Section Weighting, which determines how much each section contributes to the overall review score. The weighting across all sections must total 100%.
Weighted scoring ensures that the final review reflects the priorities of the organisation.
6. Review the Template Summary
Before saving, you will see a Template configuration summary, including:
Review type
All sections and their weightings
All questions and their response types
Language versions
Welcome message (if included)
Check the configuration carefully before saving.
7. Save and Publish the Template
Once saved:
The template appears in your list of available templates.
It can now be selected whenever you create a new Performance Review.
Templates can be edited or duplicated if required (unless already in use in an active review).
Managing Templates
Once a Template is created, it is possible to:
- Edit the template
- this is possible up until a review has gone live using the template
- once live, the template will no longer be editable
- Copy the template
- new templates can be created based on existing templates, preventing the need for re-entering section and question details when only minor changes are needed
- Disable the template
- this prevents the template from being used in any future reviews
- Delete the template
- this is possible up until a review has gone live using the template. Once the template is in use, it can only be disabled.
- deleting a template will permanently remove it from the system and cannot be undone.
